I have found that the best way to run a RB is to decide on an end time. At the end time I then contact my preferred bidder by message and then usually by phone. When it is agreed I add all the bidders to a hotlist with a note of their bid before accepting the agreed bid.
All bidders then get a thank you message; some are cut n paste but some are more tailored.
This has only failed once.
